Remove Duplicate Rows

Deduplicate on all columns or a chosen key.

About Remove Duplicate Rows

Find and remove duplicate rows across the whole sheet or on a subset of key columns, with optional case-insensitive and whitespace-insensitive matching. Review each duplicate group before deleting, and keep the first or last occurrence.

Duplicate is a judgement rather than a fact: duplicate according to which columns? The answer changes what gets deleted, and nothing in the data can decide it for you.

Match on the whole row or on the key columns that actually identify a record.

How Remove Duplicate Rows works in your browser

Rows are compared by building a key from the columns you selected and keeping the first occurrence of each. Whole-row matching is the safe default because it only removes rows identical in every respect; matching on a key column such as an ID or an email address catches more, and will delete rows that differ elsewhere in ways you may have wanted.

The decision has real consequences. Two orders from the same customer on the same day for the same amount are duplicates if the file was imported twice and two genuine orders if it was not — and nothing in the file distinguishes those cases.

Comparison is exact, which means it is defeated by whitespace and inconsistent capitalisation. Trimming first is not optional if the data came from more than one source.

When to use it

  • Cleaning a mailing list assembled from several exports.
  • Fixing a table where an import ran twice.
  • Deduplicating contacts by email address rather than by name, where the same person is entered differently.
  • Preparing a dataset for analysis where repeated rows would double-count.

Frequently asked questions

Can I match on just a few columns?

Yes. Duplicates can be judged across the whole row or on a subset of key columns, which is what you want when only an identifier should be unique.

Will it delete without asking?

No. Each duplicate group is shown for review first, so you can see what would be removed and which copy is being kept.

Does it ignore case and spacing differences?

Optionally. Case-insensitive and whitespace-insensitive matching catch near-duplicates that an exact comparison would miss.
