Spreadsheet Cleaner

Trim, normalise and tidy messy data in one pass.

About Spreadsheet Cleaner

Clean up imported data: trim whitespace, collapse repeated spaces, normalise casing, strip non-printable characters, convert numeric strings to numbers, and remove blank rows, blank columns and duplicate rows. Dates are left as they are. Every rule is a toggle and you can preview the effect before exporting.

A spreadsheet that has passed through several people acquires a particular mess: stray blank rows, trailing spaces, numbers stored as text, duplicates that are not quite identical.

This does the whole pass in the right order.

How Spreadsheet Cleaner works in your browser

Order is the part that matters, and it is why doing this as one operation beats doing it as four. Whitespace is trimmed first, because duplicate detection compares values exactly and "Acme Ltd" with a trailing space is a different string from "Acme Ltd" — deduplicating before trimming leaves the duplicates behind and looks like it worked.

Trimming also handles non-breaking spaces, which arrive constantly in data pasted from web pages and PDFs. They look identical to ordinary spaces, occupy the same width and are a different character, so a manual find-and-replace for a space does not touch them.

Blank rows and columns go next, then duplicates last, on values that are now actually comparable. The row count before and after is reported, because the failure mode of cleaning is removing rows you needed rather than leaving rows you did not.

When to use it

  • Preparing an export from another system before importing it anywhere.
  • Fixing a list that has been merged from several people’s copies.
  • Cleaning data pasted out of a web page or a PDF, where invisible characters are the norm.
  • Tidying a sheet of real customer records without uploading the records to do it.

Frequently asked questions

What does it actually clean?

Stray whitespace, repeated spaces, inconsistent casing, non-printable characters, numbers stored as text, blank rows and columns, and duplicate rows. It does not rewrite dates.

Why do exported spreadsheets need cleaning at all?

Because data arrives from systems that pad fields, use different date conventions and leave invisible control characters behind. Those defects break lookups and pivots later.

Can I choose which fixes to apply?

Yes. Each operation is separate, so you can normalise whitespace without touching casing, or convert numeric strings while leaving dates alone.
